5. Aims & Objectives :
University College Arabic Society aims:
1. To promote the Arabic language, its literature and Arabic education.
2. To build a close fraternity of the alumni.
3. To uphold and manifest the dignity, tradition and goodwill of the Department of Arabic, University College in particular and that of University College in general; especially among non-members when such of our members interact with them by virtue of their job, residence, association, etc., in India or abroad.
4. To disseminate useful data on projects, avenues, opportunities, etc., to members of the society especially to the younger generation, for their benefit and advancement.
5. To honour contributions in the field of Arabic language and literature, and in other fields.
6. To initiate endowment/scholarship schemes to support financially weak and academically brilliant UG and PG students in the Arabic Department, University College.
7. To encourage visits to senior members at their residence by peer groups in the fraternity.
8. To conduct Alumni Day every year and to organize endowment lectures, seminars and other academic and cultural activities.
9. To raise and maintain a corpus fund for the fulfillment of the above aims and objectives.
10. To carry out other activities as may be necessary for furthering the above aims and objectives.
6. DECLARATION
We, the several members whose signatures, occupation and address are given under are desirous of being formed into a Society in accordance with the provisions of the Travancore-Cochin Literary Scientific and Charitable Societies Registration Act XII of 1955 in pursuance of this memorandum of Society and in testimony of this we have subscribed our respective names and signatures herein to on this 9th day of January 2010 at the Department of Arabic, University College, Thiruvananthapuram.

Definition
· Unless otherwise specified, "Society" would mean University College Arabic Society.
· “College” would mean University College, Thiruvananthapuram
· The short name "UCAS" would mean University College Arabic Society

6. Membership
1. Eligibility
1. Any person who was a student of Arabic with Arabic as the degree main subject, or as Part II language, or MA, or M. Phil, or Ph.D in the University College at any time, or
2. Who was a teacher in the Department of Arabic, University College, or
3. Who is working as a teacher in the Department of Arabic, University College.
2. Procedure: Any person satisfying clause III (1) may contact the Secretary (elected), University College Arabic Society and submit an application in the prescribed format seeking admission, after remitting membership fee & registration fee. The application form can also be downloaded from the website of Department of Arabic using the following website address:

The Secretary (elected) shall place such applications before the Executive Committee with his recommendation for their consideration and admission to the fraternity by the Executive Committee, subject to final approval of the General Body.
Annual Membership Fee is fixed as Rs.100/- (Rupees one Hundred only), Registration Fee Rs.50/- (Rupees Fifty only) and life membership fee will be Rs.1000/- (Rupees one Thousand only) including registration fee.
3. Register of Members
A separate register will be kept in the Registered Office containing the names and address of all members of the society.
4. Cancellation of Membership
In the event of any member not renewing his membership within a continuous period of three years his membership will stand automatically cancelled. General Body has the power to decline membership to anyone or to delete the names of anyone from the list of members on adequate grounds.
7. Office Bearers
The governing body (Executive committee) of University College Arabic Society will be comprised of 24 Members: 1 president, 2 secretaries, 1 treasurer, 1 vice president, 2 joint secretaries, 16 executive members and 1 patron.
a) President: Elected by the general body from the Society members.
b) Secretaries: There will be two secretaries one to be elected by the general body and the other HOD of Arabic (Ex-Officio)
c) Treasurer: To be elected from the society members
d) Vice President: Elected by the general body .
e) Joint Secretaries : There will be two joint secretaries elected by the general body
f) Executive Members: There will be 16 members to be elected by the general body. The executive committee shall represent all possible segments in the fraternity and 2 of them shall be women. Out of 16 executive members, 4 will be the present teachers of the Department of Arabic. They shall meet at least once in six months. Their duty will be to convert into action the decisions taken by the general body and run routine activities according to aims and objectives of the society. The quorum of the meeting shall be six including President/ Vice president and Secretary elected / Joint secretaries.
g) Patron: Principal, University College, Thiruvananthapuram will be the patron (Ex-Officio)
Elected committee will hold office for a period of two years.
8. Rights, Duties & Power of the Office Bearers
1. President: He /She shall normally preside over the meeting of the executive committee and the general body. He/She shall be primarily responsible for the coordination of the activities of the society and its liaison with various Governmental agencies.
2. Secretaries: There will be two Secretaries
§ Secretary (Elected) : shall issue notice for the meeting of Annual General Body with the concurrence of the President. He will also be responsible for arranging the meeting of executive committee and for minuting the transactions in the above meetings. He shall be custodian of all records of the society and also responsible for all correspondence, both internal and external, representing the society.
§ Secretary (Ex-officio): Head of the department of Arabic, University College, Thiruvananthapuram will be the Secretary (Ex-officio). He/She Shall function as the Public Relations Officer of the Society and shall work in liaison with Secretary (Elected) in all official duties.
3. Treasurer: He/She shall maintain accounts of the society, and present the audited annual statement before the general body.
4. Vice-President: In the absence of the president, the Vice President will preside over the above meetings and discharge the functions.
5. Joint Secretaries : The two Joint secretaries will assist the Secretary (Elected) in the functioning of the society
Secretary (Ex-officio) & Treasurer will jointly operate all the bank transactions.
6. Patron: Principal, University College, Thiruvananthapuram will be the patron (Ex-Officio) of University College Arabic Society.
9. Advisory Committee
There will be an advisory committee comprising former and present teachers of the department of Arabic, University College, Thiruvananthapuram.
10. Management
1. General Body
It consists of all members of the society. Its quorum shall be 25. If the quorum is not present, a second meeting shall be called within a period of 15 days and the members present in that meeting will form the quorum. General body meeting shall be convened once in every year. Special General body can be convened for any particular purpose at any time after serving 10 days notice to the members.
2. Funds
Sources of funds to the society will be Registration fee, membership fee and donations. The society can also raise funds for adhoc purposes as decided by the General Body through voluntary donations and sponsorships from external sources by publishing souvenirs and books, by organizing cultural activities, etc. The funds shall be deposited in Nationalized/Scheduled/Co-operative Banks. The financial year of the Society will be from January to December.
11. Annual Report
The Secretary (Elected) shall present the Annual Report before the General body incorporating all activities of the previous year and Treasurer shall present an audited statement of accounts for the corresponding year.
12. Amendments to the Rules & Regulation
Rules & Regulations in force can be suitably amended and new ones incorporated with the approval of two thirds of the members present and voting in the General Body that considers such proposal on prior notice.
13. Indemnity
The Office bearers, Executive Committee Members of the society, shall be indemnified out of the society funds against losses incurred, if any, in the discharge of their official duties except those incurred due to willful acts of negligence or default.
14. Dissolution
The University College Arabic Society may be dissolved by a decision made to the effect in a meeting of the General Body convened for the purpose in which three fourths of the registered members are present and two thirds of them vote for dissolution. If upon dissolution there shall remain, after satisfying payments of all the liabilities of the University College Arabic Society, any property, movable or immovable of the University College Arabic Society; the same shall not be disbursed among the members but shall be transferred to the University College Parent Teacher Association as decided by the votes of two thirds of the members present at the time of dissolution in accordance with the provision of the Travancore- Cochin Literary and Cultural Societies Registration Act XII of 1955 Rules 24 to 26.
